Birthday Party Agreement

✨ We’re so excited you’ve chosen Gather on Hopmeadow to celebrate your special event! Please take a few minutes to fill out this form so we have all the details we need to make your party run smoothly. Your responses help us prepare the perfect activities, materials, and setup for your celebration.

Please review the following terms:

🎨 Services Provided by Gather on Hopmeadow:

• Hosted art/craft activities (all art materials included) for 1 hour 15 minutes of art fun for up to 12 guests for $360 party package. (If over 12 children, there is an additional charge of $25 per artist)

• All preparation and clean-up for the art activities.

  
  

Payment:

• Gather On Hopmeadow requires $360 to hold the space for your event. If there are over 12 guests, extra fees will be payable on party day. 

• If there are additional costs for supplies based on choice of art project, you will be informed ahead of time, but payment can be made on party day.

• Please let us know the final guest count (number of artists) at least 2 weeks before the party. While we always make sure there are extra supplies for surprise guests, the earlier we know, the better!

• You may pay by Credit Card or Cash. For online credit card payments, we will send you a pay link once the details are finalized. Cash or Credit Payments can also be made at Gather on Hopmeadow during business hours.

Cancellation & Rescheduling Policy:

• Refunds are not given, however, we understand that despite the best intentions, unforeseen events can arise, so please let us know immediately if you need to reschedule your party. There is no charge with 7+ days advance notice. There is a $50 fee for rescheduling your party with less than a week’s notice.

Children’s Parties:

• BYO food and drinks are allowed. You are responsible for all set-up and clean-up. Tables will be provided. Trash bags for clean-up will also be provided.

• You assume all liability for the consumption of food and beverages. You must provide all plates, napkins, utensils, and cups. 

• You may decorate for the party, although the space will look festive for this important day! All decorations and clean-up of decorations are your responsibility and will be done within a 3-hour party window (no more than 30 minutes before and 30 minutes after party).

• Unless otherwise requested, we will begin the art project 15 minutes after the party begins. Please let the parents know that the art project starts on time!

• End Time: If your party runs past a 3-hour window, you may be charged for the additional time of $50. For pick-up, we recommend that parents are told to return 2 hours into the party.

• You, the host, of the party agree to be responsible for all the children during the event.
